Day 2

Concept

Day 2 traces the complete path a prospect takes from first awareness to loyal long-term member. Most studios have never consciously designed this journey; it just happens. The exercise begins at the discovery phase: how do prospects find the studio? Instagram, Google, walking by, friend referral, Groupon, MindBody app? Each channel is listed with estimated monthly volume. Then the inquiry phase: what happens when someone expresses interest? Do they fill out a web form, send a DM, call, or walk in? You will document every touchpoint and discover the reality that many inquiries fall into black holes with no follow-up. Next comes the trial experience: what does a first-time visitor encounter? The booking process, the confirmation, arrival, check-in, the instructor introduction, the class itself, the post-class follow-up. Each of these moments is rated on a scale of 1-5 for how intentionally it has been designed. The enrollment phase examines what offer is presented, by whom, when, and with what close rate. Finally, the loyalty phase looks at what keeps members beyond six months, what triggers cancellations, and what, if anything, upgrades them to higher-tier offerings. By the end of Day 2, you will have a visual map with 8-15 distinct touchpoints, several of which are immediately identifiable as broken or missing.

Key Takeaway: The member journey map exposes invisible leaks in your acquisition and retention process. Most studios lose 30% of prospects to fixable gaps.

Implementation Methods

  1. Data Collection: Gather all relevant metrics, feedback, and operational data for The Member Journey Map.
  2. Analysis Framework: Apply structured analysis to identify patterns and opportunities.
  3. Asset Creation: Develop the specific deliverables needed (templates, scripts, workflows).
  4. Team Briefing: Communicate changes and expectations to any instructors or staff involved.
  5. Implementation: Execute the specific actions required to activate this system.
  6. Testing: Validate that systems work before relying on them for member-facing operations.
  7. Tracking Setup: Install measurement tools to monitor performance over time.
  8. Review Cycle: Schedule regular review intervals for continuous improvement.
  9. Optimization: Based on initial data, refine and improve the approach.
  10. Documentation: Record processes for consistency and team training.

Decision Matrix:

  • If current metric is below industry average → Immediate priority intervention required
  • If current metric is at industry average → Focus on optimization and incremental gains
  • If current metric is above industry average → Leverage as competitive advantage and scale
  • If resource-constrained → Start with highest-impact, lowest-effort implementation
  • If team-resistant → Begin with pilot program to demonstrate results before full rollout
