The Property Management Scorecard

Track these metrics weekly:

Revenue Metrics

  • Monthly recurring management fee revenue
  • Leasing fee revenue
  • Ancillary service revenue (insurance coordination, maintenance markups, etc.)
  • Average revenue per door
  • Revenue per owner

Growth Metrics

  • New doors under management
  • Doors lost (churn)
  • Net door growth
  • New owner consultations scheduled
  • Consultation-to-contract conversion rate
  • Average days from first contact to signed agreement

Operational Metrics

  • Average days on market (vacancy period)
  • Tenant retention rate
  • Maintenance cost per door per month
  • Owner satisfaction score
  • On-time rent collection rate

Financial Targets

  • Cost per owner acquisition
  • Lifetime value of an average owner
  • Gross margin on management services
  • Owner retention rate

Setting Realistic Targets

Use this framework:

  1. Current baseline: Where are you today on each metric?
  2. 90-day target: Where will you be on Day 90?
  3. Weekly milestone: What must happen each week to stay on track?
  4. Leading indicators: Which metrics predict future results?

The Rule of Three

Choose only three primary targets for 90 days. Everything else is secondary. Examples:
