1. Discovery Call Script
Duration: 30-45 minutes
Goal: Understand the prospect's situation and recommend the right tier
Opening (2 minutes)
"Thanks for taking the time, [Name]. Before we dive in, I would love to hear about what prompted you to explore podcast production services. What is your current situation with the podcast?"
Discovery Questions (15-20 minutes)
Ask these in order, listening more than talking:
"What made you decide to start — or invest more in — a podcast?"
"Tell me about your current production process. What is working, and what is frustrating?"
"How much time are you currently spending on podcast production per week?"
"What does success look like for your podcast? How do you measure it?"
"Who is your ideal listener, and what do you want them to do after listening?"
"What is the biggest obstacle between where you are now and where you want to be?"
"Have you worked with a producer or editor before? What was that experience like?"
"What is your publishing schedule goal? How often do you want to release?"
"Besides editing, what parts of production feel most overwhelming?"
"How does podcasting fit into your broader business or marketing strategy?"
"What is your timeline for getting this sorted out?"
"If we were to work together, what would make this feel like a successful investment?"
Transition to Recommendation (3 minutes)
"So here is what I am hearing: [summarize their situation in 2-3 sentences]. Based on that, I think our [Tier Name] would be the best fit. It includes [2-3 key deliverables that directly address their pain points]. Does that sound like it would solve the problems you described?"
Next Steps (2 minutes)
"I would love to put together a formal proposal for you. I will have that to you by [day]. From there, we can schedule a quick call to walk through it and answer any questions. How does that sound?"
Notes Template
During the call, capture:
Exact phrases they use (mirror their language in your proposal)
Emotional reactions (where did they get frustrated, excited, concerned)
Specific numbers (time spent, budget mentioned, team size)
Key decision criteria and timeline
Any objections that surfaced
2. Price Presentation Script
Context
Use this after the discovery call when presenting pricing, either live or in the proposal.
The Script
"Based on everything you shared, I recommend our [Tier Name]. Here is what is included each month: [list 3-5 most relevant deliverables for their situation].
The investment is $[Price] per month, with a [6/12]-month commitment. That breaks down to about $[Price/episode] per episode for full production, management, and [key benefit].
Payment is due at the start of each month, and we can have your first episode produced within [timeframe] of signing.
Does that align with what you had in mind for budget?"
If They Hesitate
"I understand it is an investment. Let me put it in context: you mentioned you are spending [X hours] per week on production. If your time is worth $[hourly value], that is $[calculated value] per month in time cost alone. Our fee replaces that time cost and delivers professional quality that attracts better guests and more listeners. Most of our clients see the investment pay for itself within the first month through time savings."
3. Cold Outreach Scripts
3A. LinkedIn Connection Request
"Hi [Name], I came across your profile and saw you are [in the fitness industry / a coach / host of X podcast]. I help [niche] professionals launch and manage podcasts that generate leads. Would love to connect and learn more about what you are building."
3B. LinkedIn Follow-Up (24-48 hours after connect)
"Thanks for connecting, [Name]! I noticed [specific observation about their profile or content]. Quick question — are you currently podcasting, or is it something you have been considering? Either way, happy to share any insights that might be helpful."
3C. Cold Email — The Struggling Podcaster
Subject: Your [industry] expertise + podcasting
Hi [Name],
I was listening to your recent episode on [topic] and was struck by your insight about [specific point]. It got me thinking — someone with your expertise could reach a much wider audience with a more polished production.
I help [niche] professionals produce podcasts that position them as industry leaders. I have put together a short guide on the 5 production mistakes costing [niche] podcasters listeners — no pitch, just practical advice. Happy to send it over if you are interested.
Worth a conversation? If podcast production support is on your radar, I would love to share what is working for others in your space.
Best,
[Your Name]"
3D. Cold Email — The Expert Without a Podcast
Subject: Idea for your content strategy
Hi [Name],
Your LinkedIn content on [topic] is fantastic. You have a clear voice and deep expertise. Have you considered turning that content into a podcast?
I have helped [number] [niche] professionals launch podcasts that now generate consistent inbound leads. The hosts I work with typically see [specific result] within [timeframe].
I put together a free guide: '[Title] — What [Niche] Professionals Should Know Before Starting a Podcast.' Happy to send it your way, no strings attached.
Would you be open to a brief conversation about whether podcasting makes sense for your business?
Best,
[Your Name]"
3E. Cold Email — The Inconsistent Publisher
Subject: Quick question about [Podcast Name]
Hi [Name],
I noticed [Podcast Name] has not published in [X weeks]. As someone who manages production for [number] podcasts, I know how quickly life gets in the way of a publishing schedule.
Many hosts struggle with the production bottleneck — they love recording but the editing, show notes, and publishing eat up their time. I help [niche] podcasters publish consistently without touching a single audio file.
If getting back on schedule is a priority, I would be happy to share how we could have you publishing again within a week. Worth a brief conversation?
Best,
[Your Name]"
3F. Facebook Group Value Post
"I edited 47 podcast episodes last month for clients in the [niche] space. Here are the 3 biggest mistakes I see that cost hosts listeners and leads:
Inconsistent publishing (this alone kills 60% of shows)
Skipping show notes (you are leaving SEO traffic on the table)
Not creating social clips from episodes (one episode should become a week of content)
If you are struggling with any of these, happy to share what is working for our clients. Drop a comment or DM me."
4. Follow-Up Sequence
Follow-Up 1 (Day 2)
"Hi [Name], wanted to make sure you received the proposal I sent over. Happy to answer any questions — just reply here or we can jump on a quick call if that is easier."
Follow-Up 2 (Day 5)
"Hi [Name], I came across this article about [relevant topic] and thought of you. [1-2 sentences on relevance].
No pressure on the proposal — just thought you would find this useful. I am here if you want to talk through anything.
Best,
[Your Name]"
Follow-Up 3 (Day 7)
"Hi [Name], I wanted to follow up on the proposal. I am genuinely excited about the possibility of working with you on [their podcast name].
What would be helpful for you in making this decision? I am happy to clarify anything, adjust the scope, or jump on a quick call to talk it through.
Best,
[Your Name]"
Follow-Up 4 (Day 10)
"Hi [Name], one of my clients in [similar niche] just shared a great result: [specific metric or testimonial]. It reminded me of the goals you mentioned for your podcast.
If you are still considering working together, I would love to make it happen. If timing is not right, I completely understand — just let me know either way.
Best,
[Your Name]"
Follow-Up 5 (Day 14)
"Hi [Name], I will assume timing is not quite right — and that is completely okay. I will pause my follow-ups for now.
I would love to reconnect in [month/quarter] if podcast production support is still on your radar. In the meantime, here are [resources] that might be helpful.
Wishing you all the best with [their show/business].
Best,
[Your Name]"
5. Objection Handling Scripts
5A. "It is too expensive."
"I completely understand — $[Price] per month is a significant investment. Let me ask: if this service freed up [X] hours per week of your time and your podcast started generating qualified leads, what would that be worth to your business?
If budget is genuinely tight right now, we could start with our [Lower Tier] at $[Price] and upgrade once you see the ROI. The key is getting started and building momentum. What do you think?"
5B. "I need to think about it."
"Of course — this is an important decision. To make sure I am giving you everything you need, what specifically would be most helpful to think through? Is it the investment, the timing, or something about the service itself?"
[Listen, then address the specific concern directly.]
5C. "I can find someone cheaper on Fiverr."
"You are absolutely right — there are cheaper options out there. The difference is in what you get. Fiverr editors typically do audio cleanup and send the file back. They do not coordinate your guests, write your show notes, publish your episodes, or think strategically about your show's growth.
You are not just paying for editing — you are buying back [X] hours per month and getting a strategic partner who treats your podcast like their own. Does that difference matter for where you are with your business?"
5D. "I want to do it myself for now."
"I admire that — and many of our clients started that way. Can I ask: how many hours per week are you currently spending on production? [Let them answer] And what is your hourly rate or the value of your time? [Calculate for them] So you are effectively spending $[X] per month on production by doing it yourself. Our service costs $[Y] and includes [additional benefits]. Plus, you get those [X] hours back to focus on [their core business]."
5E. "I am not sure about a monthly commitment."
"I understand — a monthly commitment is a big step. A couple of options: we could start with a 3-month commitment instead of 6. Or we could begin with a launch package where you experience the full service before committing to ongoing work. What would make you feel comfortable getting started?"
5F. "I need to ask my partner/boss."
"Absolutely — big decisions often involve other people. Would it be helpful if I put together a one-page summary of the proposal they could review? Or would it make sense to schedule a brief call with all decision-makers so I can answer questions directly?"
6. Closing Scripts
6A. The Assumptive Close
"I am excited to get started. I will send over the onboarding packet today, and we can schedule your kickoff call for next Tuesday. Does that timeline work for you?"
6B. The Alternative Close
"Based on what you shared, I see two paths. Option A is our [Tier 2] at $[Price] per month, which includes everything we discussed. Option B is starting with a launch package at $[Price], which gets you set up perfectly, and then transitioning to the monthly retainer. Which approach feels better for where you are?"
6C. The Direct Close
"I believe we are a great fit for what you are trying to accomplish. Are you ready to move forward with the [Tier Name]?"
6D. The Summary Close
"Let me make sure I have this right. You want to publish weekly but you are spending [X]+ hours on production that is taking you away from client work. You need someone who can handle editing, show notes, and guest coordination. And you want to start within the next two weeks. Our [Tier Name] at $[Price] per month checks all those boxes. Should we get started?"
7. Upsell Conversation Scripts
7A. Show Notes Upsell
"You mentioned wanting to improve your podcast's discoverability. One thing that could make a big impact is upgrading your show notes to SEO-optimized blog posts. Right now your show notes are [current state]. Our SEO show notes service turns each episode into a searchable asset that ranks on Google. It is $[Price] per episode. Want to try it for next month's episodes?"
7B. Social Clips Upsell
"I have been thinking about your audience growth goals. I noticed you are not currently creating social media clips from episodes — most of our clients who add social clips see a 20-30% increase in discovery within 60 days. It turns one episode into 8-10 social posts. It is $[Price] per month. Interested in trying it?"
7C. Guest Booking Upsell
"You mentioned that guest outreach is eating up your time. We offer a full guest booking service — we research prospects, handle outreach, manage scheduling, and send briefing materials. It would free up those [X] hours per week completely. It is $[Price] per month. Should I add that to your package?"
7D. Tier Upgrade Conversation
"Your show has grown significantly since we started working together. You are now publishing [X] episodes per month, your downloads have [increased metric], and you mentioned wanting to [new goal]. I think you have outgrown our [Current Tier]. Our [Next Tier] includes [new benefits] and would better support where you are headed. The investment would be $[New Price]. Does that make sense as a next step?"
8. Referral Request Scripts
8A. The Direct Ask (After a Win)
"[Name], I am so glad the podcast is going well. I am looking to add 2-3 more [niche] podcast clients this quarter. Do you know anyone in your network who might benefit from production support? I would be grateful for an introduction, and I will make sure they have an exceptional experience. As a thank you, I offer [referral incentive] for any referral who becomes a client."
8B. The Email Request
"Hi [Name],
I hope the podcast is continuing to go well. Quick question: I am looking to work with 2-3 more [niche] podcasters this quarter. Do you know anyone in your network who might benefit from professional production?
I would be grateful for an introduction. As a thank you, I offer [referral incentive] for any referral who becomes a client.
Thanks for considering it!
[Your Name]"
8C. The Casual Mention
"I am actually looking to grow my client roster by a few more [niche] podcasters this quarter. If anyone comes to mind, I would love an intro. My best clients almost always come from referrals."
9. Price Increase Script
The Price Increase Letter
"Hi [Name],
I am writing to let you know about an adjustment to our service pricing. Starting [Date — 60 days out], your monthly investment for [Tier Name] will be $[New Price] (up from $[Current Price]).
This adjustment reflects [reason: the expanded services we have added / market rate alignment / quality improvements]. Over the past [timeframe], we have [specific improvements — added services, reduced turnaround, added team members].
I value our partnership tremendously, and I am committed to continuing to deliver exceptional production and service. If you have any questions about this change, I am happy to discuss on our next call or via email.
Thank you for your continued trust.
Best,
[Your Name]"
If Client Pushes Back
"I understand this is an adjustment. I have not raised prices in [timeframe], and this brings our rate in line with the value and expanded services you are receiving. I would hate to lose you as a client — is there a way we can make this work?"
If Client Threatens to Leave
"I completely understand budget is a factor. If the new rate does not work, I could suggest [lower tier] at $[price], which still covers your core needs. Would that be a better fit?"
10. Onboarding Scripts
10A. Welcome Email

10C. 30-Day Check-In Script
"Hi [Name], I wanted to check in after your first month and make sure everything is going smoothly.
How has the experience been so far?
[Listen]
How have the episodes sounded? Any feedback on editing style, pacing, or audio quality?
How has our process felt? Is file submission easy? Are turnaround times meeting your expectations?
Have you noticed any changes since we took over production? More time? Better quality? Positive feedback?
Is there anything you expected that we have not delivered? Or anything you wish was different?
Looking ahead to month two, anything we should adjust? Any special episodes, initiatives, or changes coming up?
On a scale of 1-10, how would you rate your experience so far?"
11. Partnership Outreach Scripts
11A. Marketing Agency Partner
"Hi [Name],
I have been following [Agency Name]'s work with [niche] companies and really admire [specific thing]. I run [Company], a podcast production company specializing in [niche] podcasts.
I noticed several of your clients could probably benefit from podcasting as a marketing channel. I would love to explore a referral partnership — I am happy to offer your clients [discount/bonus] and reciprocate by referring my clients to you when they need [their service].
Worth a 15-minute conversation to see if there is a fit?"
11B. Business Coach Partner
"Hi [Name],
Your coaching program clearly helps [niche] professionals build authority and attract clients. I have seen firsthand how a professional podcast amplifies those results — several of my clients credit their podcast as their #1 lead source.
I would love to explore how we could partner. I could offer your clients a [discount/free resource] on podcast production services, and you would earn [commission] for every client who signs on. It is a natural add-on to what you already teach.
Interested in a brief conversation?"
11C. White-Label Partner
"Hi [Name],
I run a white-label podcast production service for agencies and coaches. You sell podcast production under your brand; we deliver the work behind the scenes. Your clients get professional production; you get a new revenue stream without hiring a team.
We currently partner with [X] agencies and have produced [Y] episodes for their clients. Our white-label partners typically mark up our costs by 40-60%.
Would you be open to seeing a sample of our work and discussing how a partnership might work?"
12. Testimonial Request Scripts
12A. After a Milestone
"Hi [Name],
Congratulations on [milestone — 10th episode, 1,000 downloads, etc.]! It has been amazing to see your podcast grow.
Would you be willing to write a brief testimonial about your experience working with us? Just 2-3 sentences about what the production support has meant for your show and your business.
I would use it on our website and in proposals — it really helps other [niche] professionals see the value.
Thank you for considering it!
[Your Name]"
12B. Video Testimonial Request
"Hi [Name],
Your podcast has been crushing it lately! I am putting together some client success stories and would love to feature you.
Would you be open to a 5-minute video call where you share 2-3 sentences about your experience? Nothing formal — just genuine feedback about what working together has been like.
As a thank you, I would love to [offer — free month, bonus social clips, etc.].
Let me know if you are interested!"
