Our [Event Type] packages typically range from $[X] to $[Y] depending on guest count and selections

We would love to show you the space in person

In the meantime, here is our digital brochure with package details: [Link]

Looking forward to meeting you both.

[Your Name]

[Title]

[Phone] | [Email]

[Website]

Script 1.2: Text Message Response

Hi [First Name]. This is [Your Name] from [Venue Name]. Thanks for your inquiry about [Date]. We do have availability and would love to show you the space. Are you available for a tour this [Day] or [Day]? -[Your Name]

Script 1.3: Phone Call Script (First Contact)

"Hi [Name], this is [Your Name] calling from [Venue Name]. I received your inquiry about hosting your [wedding/event] with us, and I am so excited to learn more about what you are planning.

Do you have a few minutes to chat? Great. I would love to hear about your vision and see how we can bring it to life at [Venue Name]."

[Listen to their story. Ask discovery questions.]

"This sounds absolutely wonderful. Based on what you have shared, I think our [Tier Name] package would be a great fit. I would love to have you come see the space in person. Are you available [Option 1] or [Option 2]?"

Section 2: Consultation & Tour Scripts

Script 2.1: Pre-Tour Discovery Questions

"Before I show you the space, I want to make sure I highlight the areas that matter most to you. Can you tell me:

1

How did you two meet? How long have you been planning?

2

What is your ideal date, and how flexible are you?

3

How many guests are you expecting?

4

Have you looked at other venues? What stood out or disappointed you?

5

What matters most to you in a venue? The aesthetic? The service? The all-inclusiveness?

6

Who else is involved in the decision?

7

What is your rough budget range for the venue?"

Script 2.2: Tour Narration Script

Exterior/Arrival:

"This is where your guests will arrive. As you can see, we have ample parking and clear signage to guide everyone. The approach is designed to build anticipation."

Ceremony Space:

"This is where your ceremony will take place. With [capacity] seated guests, the space feels intimate but grand. The natural light here is spectacular for photography, and we have [specific feature] that makes this space truly unique."

Cocktail Area:

"After the ceremony, your guests will transition to this cocktail space. We typically set up [description]. The flow from ceremony to cocktail to reception is seamless, which your guests will appreciate."

Reception Space (Reveal):

"And here is where the magic happens. This is our [Space Name], and this is what most of our couples tell us made them fall in love with [Venue Name]. With [capacity] for a seated dinner, [lighting description], and [unique feature], this space transforms into exactly what you have been envisioning."

Script 2.3: The Transition to Proposal

"I can absolutely picture your [wedding/event] here. Based on what you shared about your [guest count/vision/budget], I think our [Package Name] would be perfect for you. It includes [2-3 key inclusions], and the investment would be around $[Amount].

I can prepare a detailed proposal and send it to you within an hour. Would you like me to place a complimentary 48-hour hold on [Date] while you review everything? There is no obligation, and it guarantees no one else can book it."

Section 3: Objection Handling Scripts

Script 3.1: "That's More Than We Budgeted"

"I completely understand. Most couples find that their budget evolves as they understand what is included. Let me break down exactly what that investment covers so you can compare apples to apples with other venues."

[Break down all inclusions and their standalone value]

"When you add up venue rental, tables and chairs, linens, lighting, coordination, and cleanup at other venues, the total often exceeds what we include in one price. Plus, our dedicated coordinator prevents costly mistakes that can happen when you are managing multiple vendors yourself."

Script 3.2: "We Need to Think About It"

"Absolutely, this is an important decision. To help you compare, what specific aspects would you like to think through? I want to make sure you have all the information you need.

[Listen for the real objection]

Also, I should mention that your date is one of our most requested, and I have two other couples interested in it. I am happy to place a complimentary 48-hour hold while you decide. Would that be helpful?"

Script 3.3: "We Saw Another Venue for Less"

"I would love to understand what you liked about that venue. Often the difference is in what is included. Let me show you a side-by-side comparison so you can make a fully informed decision."

[Show comparison of your inclusions vs. typical competitors]

"Our couples consistently tell us that the peace of mind of having everything included and coordinated was worth the difference."

Script 3.4: "We Are Looking at Several Venues"

"That is smart. You should absolutely see your options. Here is what I suggest: after you have toured everywhere, call me with any questions. I am confident that once you compare the full picture, [Venue Name] will stand out.

In the meantime, let me hold your date for 48 hours. No commitment necessary, and it gives you time to tour the others without worrying about losing this date."

Section 4: Follow-Up Email Templates

Template 4.1: Post-Tour Thank You (Within 2 Hours)

Subject: It was wonderful meeting you both, [First Name]

Hi [First Names],

Thank you so much for taking the time to tour [Venue Name] today. It was wonderful hearing about your vision for [Date], and I genuinely hope we get to be part of your special day.

As promised, I have attached your personalized proposal for the [Package Name]. I also placed a complimentary 48-hour hold on [Date] for you.

If you have any questions at all, please do not hesitate to reach out. I am here to help make this decision as easy as possible for you.

Warmly,

[Your Name]

Template 4.2: Day 3 Follow-Up

Subject: A quick question about your venue search

Hi [First Name],

I hope your venue search is going well. I wanted to check in and see if any questions have come up since your tour on [Day].

One thing I forgot to mention: our couples consistently tell us that having a dedicated day-of coordinator included in their package was the single best decision they made. It eliminates so much stress on the day itself.

Your hold on [Date] is still in place until [Time]. Let me know if I can answer anything for you.

[Your Name]

Template 4.3: Day 7 Value-Add Follow-Up

Subject: These photos might help with your decision

Hi [First Name],

I thought you might love seeing photos from Sarah and Michael's wedding last month at [Venue Name]. They had a similar guest count and used the same spaces you are considering.

[Attach or link to 3-5 photos]

Their ceremony was in the [Space], cocktail hour in the [Space], and reception in the [Space]. They chose our [Package Name] and told us it was absolutely perfect.

Would you like to schedule a second visit to see the space set up for an event? I can arrange that for you.

[Your Name]

Template 4.4: Day 14 Objection-Handling Follow-Up

Subject: The question every couple asks about our pricing

Hi [First Name],

One of the most common questions I get from couples comparing venues is about what is actually included in our pricing versus what costs extra elsewhere.

I put together a quick comparison guide that breaks down what is included in our [Package Name] vs. what you would typically need to source separately at a venue-only rental.

[Link to comparison]

Spoiler alert: most couples find that our all-inclusive approach actually saves them money while eliminating a ton of coordination stress.

Your [Date] is still available, though I do have another inquiry for it. Let me know if you would like to move forward.

[Your Name]

Template 4.5: Day 21 Final Follow-Up

Subject: Before I release your date

Hi [First Name],

I wanted to reach out one more time about your potential [Date] booking at [Venue Name]. I have another couple interested in that date, and before I release the hold, I wanted to make sure you had everything you need from me.

I know choosing a venue is a big decision, and I respect that you are taking your time. If there is anything I can clarify, any question I can answer, or any concern I can address, I am here.

If [Venue Name] is not the right fit, no hard feelings at all. I just want to make sure you have all the information to decide.

Either way, I wish you both all the best in your planning.

[Your Name]
