1. Inquiry Response Scripts

Script 1A: Email Response to Wedding Inquiry

Subject: Your Wedding at [Venue] — Let's Connect!

Hi [Name],

Congratulations on your engagement! I'm [Your Name] from [Company], and I'd love to learn more about your wedding at [Venue] on [Date].

I've DJed [Number] weddings at [Venue] over the past [Years] years, so I know the room, the acoustics, and the staff well. That means one less thing for you to worry about.

I'd love to schedule a quick 20-minute call to hear about your vision, share how we work, and see if we're the right fit. No pressure, no sales pitch — just a conversation about your day.

Are you available any of these times?

[Day/Time Option 1]

[Day/Time Option 2]

[Day/Time Option 3]

In the meantime, here's a [2-minute video/photo gallery/recent review] from a wedding we did at [Venue] last season: [Link]

Talk soon,

[Your Name]

[Phone] | [Website]

Script 1B: Text Response to Inquiry

Hi [Name]! This is [Your Name] from [Company]. Thanks for reaching out about your wedding on [Date]! I'd love to learn more. Do you have 20 minutes this week for a quick call? I have [Day] at [Time] or [Day] at [Time] open. -[Your Name]

Script 1C: Slow Season Inquiry Response

Hi [Name],

Thanks for your inquiry about [Date]! I wanted to let you know that [Month] is part of our off-peak season, which means we're currently offering [15% off / complimentary uplighting / extended cocktail hour coverage] for events in this timeframe.

I'd love to schedule a call to share the details and hear about your event. Are you free [Day] or [Day] this week?

Best,

[Your Name]

2. Consultation Call Scripts

Script 2A: The Discovery Call (20-Minute Structure)

Opening (2 minutes):

"Thanks so much for taking the time to chat today, [Name]. Before we dive in, tell me a little bit about your wedding — how did you two meet, and what's your vision for the day?"

Discovery Questions (10 minutes):

"What made you reach out to us specifically?"

"Have you been to a wedding recently with a great DJ? What made it great?"

"What three words would you use to describe your ideal reception?"

"Are you thinking more elegant and romantic, or high-energy party?"

"Do you have any must-play songs or genres? Any absolutely-not songs?"

"Will you have live elements — string quartet, cultural dancers, special performances?"

"What's your rough timeline for the evening? Ceremony, cocktail hour, dinner, dancing?"

"Are you working with a planner, or coordinating things yourselves?"

Budget Discovery (subtle):

"Most of our couples have invested between $X and $Y in their entertainment package. Where are you hoping to land in that range?"

The Pivot (3 minutes):

"Based on what you've shared, I think our [Signature/Luxe] package would be the perfect fit. Here's why..."

[Present the recommended package with 2-3 specific reasons tied to their needs]

Next Steps (5 minutes):

"I'm going to send you a custom proposal within 24 hours. It will include everything we discussed, your package recommendation, and a few add-on options you mentioned considering. To hold your date, we require a [Deposit Amount] retainer, which [Percentage]% of our clients choose to do within 48 hours of receiving their proposal."

"Do you have any questions for me before we wrap up?"

"[Name], I'm genuinely excited about your wedding. I think we could create something really special together."

Script 2B: The In-Person Consultation

[Same structure as above, but add:]

Visual Presentation:

Show the package guide on a tablet or printed

Share a 60-second highlight reel from a similar wedding

Walk through the timeline visually

Show uplighting before/after photos if relevant

Closing Difference:

"I have [Date] held tentatively for one other couple. If you feel good about moving forward, we can get your retainer processed today and secure your date."

4. Objection Handling Scripts

Script 4A: "You're More Expensive Than We Expected"

"I completely understand. Most couples don't have a frame of reference for what professional wedding entertainment costs until they start looking.

Let me share something that might help: We recently surveyed our past clients, and 94% said we exceeded their expectations. More importantly, when we asked what they'd change about their wedding budget, the most common answer was that they wished they'd invested more in entertainment — because that's what their guests remembered.

Your DJ controls the microphone, the music, the timeline, and the energy in the room for 5+ hours. When you divide our fee by [Number of guests], it works out to about $[Per person] per guest for the experience they'll remember most.

That said, I want to make sure we find something that works for you. Our [Lower tier] package includes [Key elements] at $[Price]. Would that be a better fit, or would you like to explore a payment plan option?"

Script 4B: "We Need to Think About It"

"Absolutely — this is a big decision, and I want you to feel 100% confident.

Can I ask what's specifically giving you pause? Is it the investment, the package, or are you comparing a few different DJs?"

[Listen carefully]

"That makes total sense. Here's what I can do: I'll hold your date without any obligation until [Date — 5-7 days out]. That gives you time to [their specific concern], and if you decide to move forward, your date is still available. If not, no hard feelings at all.

The only reason I mention it is that [Month] is our busiest season, and I've had three inquiries for your date already. I just want to make sure you have the option."

Script 4C: "We're Considering a Friend/Family Member"

"That can work in some situations! I've actually DJed alongside family friends who were helping out. Here's what I'd encourage you to think about:

A professional wedding DJ does a lot more than play music. They're your MC, your timeline coordinator, your technical problem-solver, and your crowd reader. If your friend is comfortable handling all of those roles — including making announcements in front of 150 people and troubleshooting a microphone failure at 8 PM — that's a great option.

One thing to consider: If something goes wrong with a friend or family member DJ, it can strain the relationship. We've had couples hire us last-minute because their 'DJ friend' had a family emergency or realized they were in over their heads.

Would it make sense to at least have a backup plan? I'm happy to discuss a retainer arrangement where we're on standby in case plans change."

Script 4D: "We Found Someone Cheaper"

"Price is definitely important, and I respect that you're being smart about your budget.

Can I ask what the price difference is? And more importantly — what made you reach out to us in the first place before you found the other option?"

[Listen]

"Here's what I can tell you: Our pricing reflects [X years] of experience, [Y weddings] performed, backup equipment on every event, professional liability insurance, and a team that coordinates with your venue and vendors. Not every DJ at a lower price point offers all of those things.

I'd rather you hire the right DJ at any price than the wrong DJ at ours. If the other DJ checks all those boxes and you feel confident in them, that's genuinely great news for your wedding.

But if you have any doubts, I'd love the chance to earn your business. Would a [small discount / add-on / payment plan] make the difference?"

5. Follow-Up Scripts

Script 5A: Post-Proposal Day 2

Subject: Quick question about your proposal

Hi [Name],

I wanted to follow up on the proposal I sent for your [Date] wedding. I know wedding planning involves a million decisions, so no pressure at all.

I did want to mention that I've had one more inquiry for your date since we spoke. Nothing urgent, but I wanted you to have the full picture.

Happy to answer any questions or adjust the proposal if needed. Just reply or text me at [Phone].

Best,

[Your Name]

Script 5B: Post-Proposal Day 7

Subject: Your [Date] — one week follow-up

Hi [Name],

It's been a week since I sent your proposal, and I wanted to check in one more time.

I know you might be weighing options or waiting on other pieces to fall into place. Whatever the case, I respect your process.

If [Company] isn't the right fit, no hard feelings at all. But if you're still interested, I'd love to get your date locked in so you can check this off your list.

Just reply with any questions, or if you'd like to hop on a quick 10-minute call to talk through anything.

Either way, wishing you the best with your planning!

[Your Name]

Script 5C: The Re-Engagement (30+ Days)

Subject: Still looking for a DJ for [Date]?

Hi [Name],

It's been a little while since we connected about your [Date] wedding at [Venue]. I wanted to check in and see how your planning is going.

A lot of couples tell us that DJ was one of the last vendors they booked because it felt less urgent than venue or photographer. But the truth is, the best DJs in any market are typically 80% booked by [Timeframe] before wedding season.

I currently have [Date] [available/held for another couple until X date]. If you're still looking, I'd love to reconnect. If you've already found your DJ, I'm genuinely happy for you — and I'd love to stay in touch for any future events.

Hope you're doing well!

[Your Name]

6. Vendor Outreach Scripts

Script 6A: First Contact with Wedding Photographer

Subject: Love your work — potential partnership?

Hi [Photographer Name],

I've been following your work on [Instagram/The Knot/WeddingWire] for a while, and I'm consistently impressed by how you capture the energy at receptions. Your [Specific style/technique] is something I haven't seen from other photographers in [City].

I'm [Your Name], a wedding DJ in [City] who specializes in [Your niche]. I've done [Number] weddings over the past [Years] years, and I'm always looking for photographer partners who share our commitment to creating unforgettable receptions.

I think our clients overlap significantly — couples who care about the experience, not just the checklist. I'd love to grab coffee sometime and see if there's a way we can refer business to each other.

Are you free for a quick coffee next week? I'm flexible on time and location.

Best,

[Your Name]

[Website] | [Instagram]

Script 6B: Wedding Planner Introduction

Subject: Referral partnership for [City] weddings

Hi [Planner Name],

I'm [Your Name] from [Company], a wedding entertainment company in [City]. We've worked with several couples at [Venue names], and I keep hearing your name come up as one of the best planners in the market.

I specialize in [Your niche — luxury weddings, specific cultural celebrations, etc.], and I pride myself on coordinating seamlessly with planners to make their jobs easier, not harder. That means timeline coordination, vendor introductions, and handling all audio logistics without the planner having to manage another detail.

I'd love to send you our portfolio and see if there's an opportunity to become a trusted referral partner. We're currently booking [Season] and have availability for [Number] more events.

Would you be open to a brief call or meeting?

Best,

[Your Name]

[Phone] | [Website]

Script 6C: Venue Coordinator Partnership

Subject: We'd love to become a preferred vendor at [Venue]

Dear [Coordinator Name],

My name is [Your Name], and I'm the owner of [Company], a professional wedding DJ and entertainment company in [City]. We've had the pleasure of performing at [Venue] [Number] times over the past [Years] years, and every time, your staff has been exceptional to work with.

I'm reaching out because we're looking to deepen our relationship with venues that share our commitment to exceptional guest experiences. We currently work with [List 2-3 other venues if applicable], and I'd love to explore becoming a preferred or recommended vendor at [Venue].

What sets us apart:

[Differentiator 1 — e.g., seamless coordination with venue staff]

[Differentiator 2 — e.g., backup equipment policy]

[Differentiator 3 — e.g., specific experience at this venue type]

I'd be happy to provide references from other venue coordinators, sample contracts, and our insurance certificate. Would you have 15 minutes for a conversation?

Thank you for your time and consideration.

Warm regards,

[Your Name]

[Company]

7. Corporate Pitch Scripts

Script 7A: Cold Corporate Outreach

Subject: [Company] holiday party — entertainment proposal

Hi [Name],

I hope this message finds you well. I'm reaching out because I understand [Company] may be planning your [holiday party / annual event / product launch], and I'd love to introduce [Company].

We're a [City]-based corporate entertainment company that specializes in [your specialty — employee engagement events, brand activations, etc.]. Our clients include [2-3 recognizable names if permissible], and we've learned that the difference between a forgettable corporate event and one people talk about for months comes down to one thing: the energy in the room.

We handle everything — sound, lighting, MCing, timeline management, and crowd engagement — so your team can focus on enjoying the event instead of managing vendors.

I'd love to send you a brief proposal tailored to your event. Would you be open to a 10-minute call next week?

Best,

[Your Name]

[Website] | [Phone]

P.S. — Here's a 90-second highlight reel from a recent corporate gala we produced: [Link]

Script 7B: Corporate Consultation Close

"[Name], based on what you've shared about your [Event type] and your [Number] attendees, I recommend our [Package name] corporate package at $[Price].

This includes [List key elements], plus our pre-event planning session where we align on timeline, key announcements, and any special presentations.

One thing that makes us different from other corporate entertainment options: We assign a dedicated event producer to your account. That means one point of contact from planning through execution — no vendor juggling on your end.

For events of your size, we require a 50% deposit to hold the date, with the balance due [Timeline].

Would you like me to prepare the agreement?"

8. Review Request Scripts

Script 8A: Post-Event Review Request (Day 3)

Subject: Thank you for letting us be part of your day!

Hi [Name],

I wanted to send a personal thank-you for allowing [Company] to be part of your [Event type].

Your [specific detail — first dance, the crowd energy, a special moment] was one of the highlights of our season, and I'm so grateful you trusted us with such an important day.

If you have two minutes, would you be willing to leave us a review? It means more than you know, and it helps other couples find us when they're planning their own weddings.

[Google Review Link]

[The Knot Review Link]

[WeddingWire Review Link]

Thank you again for everything. Wishing you both a lifetime of happiness!

[Your Name]

Script 8B: Video Review Request

Hi [Name],

I'm so glad you loved the event! Quick favor: Would you be willing to record a 30-second video on your phone sharing what you loved most about working with us?

No pressure to make it perfect — just authentic. These videos help future clients understand what it's really like to work with [Company].

If you're willing, just reply with the video attached or upload it here: [Link]

Thank you!

[Your Name]

9. Upsell Conversation Scripts

Script 9A: Ceremony Audio Upsell

"One thing many couples don't think about: Your guests at the ceremony are hearing every word you say to each other. A $200 Bluetooth speaker from Amazon doesn't do that moment justice.

Our ceremony audio package includes wireless lapel mics for the officiant and both of you, plus a discreet speaker system that fills the space without being visible in photos.

For $[Price], it ensures every guest — especially grandparents in the back row — hears your vows clearly. Would you like to add that?"

Script 9B: Uplighting Upsell

"I noticed your reception is in [Venue description]. Beautiful space, but the overhead lighting is designed for conferences, not celebrations.

Our uplighting package transforms the room — we wash the walls in your color palette, which makes the space feel intimate and romantic during dinner, then shifts to match the dance floor energy later.

Every photographer we've worked with says uplighting is the single best investment couples can make for their photos. At $[Price] for [Number] fixtures, it's about $[Per guest] per guest. Would you like me to add that to your package?"

Script 9C: Photo Booth Upsell

"Your guests are going to have their phones out all night anyway. The photo booth gives them something way more fun to do with them.

It breaks the ice during cocktail hour, gives non-dancers something to enjoy, and produces instant photo strips they take home as favors. Most couples tell us the photo booth line was longer than the bar line.

If you bundle it with your DJ package, you save $[Savings] off the standalone price. Would you like me to add it?"

Script 9D: Late-Night Extension

"The venue gives you until [Time], but your crowd is going to want to keep going. We've seen too many receptions end right when the dance floor finally gets going.

For $[Price] per additional hour, we can extend coverage and keep the party alive. You don't have to decide now — just let your venue coordinator know by [Date] if you want the extra time.

But I wanted to mention it now so it's on your radar."

10. Seasonal Promotion Scripts

Script 10A: Off-Season Booking Promotion

Subject: Book your [Winter/Off-season] wedding and save [Discount]%

Hi [Name],

While most couples are focused on summer weddings, the smart ones are booking off-season dates and getting incredible value.

We're currently offering [Promotion details — e.g., 15% off all January-March bookings, complimentary uplighting, etc.] for weddings between [Dates].

Why off-season weddings are actually better:

Venues often have more flexibility on timing

Vendors are more available and attentive

Your guests aren't juggling three summer weddings

You save significantly without compromising quality

We still have [Number] off-season dates available. Would you like to schedule a call to explore options?

[Your Name]

Script 10B: Last-Minute Availability

Subject: We just had a [Date] cancellation — anyone you know?

Hi [Name],

We just had a rare cancellation for [Date] at [Venue], which means one of the most sought-after wedding Saturdays of the season just opened up.

Before we list it publicly, I wanted to reach out to our network first. Do you know anyone who might still be looking for a DJ for [Date]? This would be at our [Year] rate, which is [Amount] less than our current pricing.

Feel free to forward this to anyone who might be interested!

[Your Name]

Script 10C: Black Friday / End-of-Year Sale

Subject: Lock in [Year] pricing before rates go up [Date]

Hi [Name],

Every January 1st, we raise our rates to reflect [increased demand, new equipment, expanded team]. This year, the increase will be [Percentage]%.

But here's the good news: If you book before [Date] with just a $[Deposit] retainer, you lock in our [Current year] pricing — even if your wedding is [18] months away.

For most of our couples, that's a savings of $[Amount]-$[Amount].

If you're interested, just reply to this email or book a quick call: [Calendar Link]

Happy holidays!
