1. Discovery Call Script {#discovery-call}

Purpose: Qualify corporate prospects and understand their print needs

Duration: 30 minutes

Opening (2 minutes)

"Thanks for taking the time, [Name]. Here is how I would like to use our 30 minutes. First, I would love to learn about your current print operations, what is working, what is frustrating. Then I will share how we have helped similar companies, and we can both decide if a deeper conversation makes sense. Does that work for you?"

2. First-Time Client Phone Script {#first-time-client}

Purpose: Welcome new clients, set expectations, and identify expansion opportunities

"Hi [Name], this is [Your Name] from [Company]. I wanted to personally welcome you and make sure we deliver exactly what you need on this first order.

I have a few quick questions to make sure we get everything right:

3. Quote Follow-Up Call Script {#quote-follow-up}

Purpose: Move pending quotes toward a decision

"Hi [Name], this is [Your Name] from [Company]. I sent you a proposal for [project] on [date], and I wanted to check in and see if you have had a chance to review it.

[If yes] Great. Do you have any questions I can answer?

[If no concerns] Wonderful. To hit your [deadline/event], we would need to start production by [date]. I can reserve the production slot now with your approval. Would you like me to send over the order confirmation?

[If price concern] I understand budget is a consideration. Let me ask: is it the overall budget, or is there a specific part of the proposal we could adjust to make this work? We could look at [alternative option] which would bring the investment to [lower price] while still delivering [core outcome].

[If need to compare] Absolutely, that makes sense. When you are comparing, I recommend looking at three things beyond the bottom-line price: guaranteed turnaround times, proofing accuracy, and what happens if something needs to be reprinted. We score well on all three. Would it help if I sent you a comparison sheet?

[If not ready] No problem at all. When do you expect to make a decision? I will follow up then so you do not have to worry about it falling through the cracks.

4. Post-Delivery Satisfaction Call {#post-delivery}

Purpose: Confirm satisfaction, request reviews, and schedule reorders

"Hi [Name], this is [Your Name] from [Company]. I wanted to check in and make sure your [product] arrived and everything looks good.

[Listen to response]

[If satisfied] That is great to hear. I am glad we hit the mark. If you have a moment, I would love to ask: on a scale of 1 to 10, how would you rate the experience working with us?

5. Reorder Reminder Call {#reorder-call}

Purpose: Proactively reach out before clients run out of materials

Most of our clients in [industry] reorder every [typical frequency], so I wanted to check in before you run low.

Are you getting close to needing more [product]?

6. Win-Back Call Script {#win-back}

Purpose: Re-engage dormant clients who have not ordered in 6+ months

"Hi [Name], this is [Your Name] from [Company]. I was looking through our client records and realized we have not worked with you in [timeframe]. I wanted to reach out personally and see how things are going.

[If they left for price] I understand price is important. I would love the chance to review your needs and see if we can find a solution that works for your budget. We have also streamlined some of our processes since you were last with us, which has helped us become more competitive.

[If they had a bad experience] I know we had some challenges in the past, and I want you to know we have made significant improvements to our [quality control/turnaround/communication process]. I would welcome the chance to earn back your trust with a small project.
